Data protection laws are changing and this notice explains why we collect your personal data and what we do with it. It ensures we are working in accordance with the newly revised Data Protection Act 2018; terms from the act are indicated in bold below.

When you supply your personal details to us, when we communicate by email,  this information is stored and processed for four reasons in line with the Data Protection Act requirements:

1. We need to collect your website, social media and emails to add to the directory.

2. We keep records of your contact information because we will contact you about events, workshops or changes to the directory.

3. Provided we have your consent we may occasionally send you information by email in the form of a newsletter, articles or advice. You may withdraw this consent at any time – you just have to unsubscribe at the bottom of the email.

4. When paying to become part of the directory it’s done through squarespace e-commerce and stripe secure online payment. You have to add your Billing Address for this, but this will not be used in any other way.

Your emails are kept in a file on our password protected computers at home or password protected mobile phones. Initial Emails received via our website are only seen by Hanna Mathilde. Online payments we take to join the directory are secured . These invoices record names, contact information of creator and the fee.

We are the only people who have access to your records, invoice files and emails. We will never share your information with anyone who does not need access without your written consent.

Only the following people will have routine access to your relevant data:

  • accountant

  • book keeper

  • secretary

  • we also use Mailchimp so your email and name may be saved on their server

You have the right to see what personal data of yours we hold and you can also ask us to correct any factual errors. We are legally required to respond to any request from a client to see their personal data within a timescale of 40 days.

Please be assured that we treat your personal data responsibly and with due respect, ensuring that the only people who can access that data have a genuine need to do so.

In the first instance if you have any concerns about the handling of your data please speak to Hanna Mathilde to decide on a suitable course of action.

If you are not satisfied with our response then you have the right to raise the matter with the directly with the Information Commissioner’s Office.
